Van de Groep & Olsthoorn handles personal data of candidates and clients with great care and strict confidentiality, in accordance with the General Data Protection Regulation (GDPR).

Collection, processing and use of personal data

Van de Groep & Olsthoorn collects personal data only to the extent necessary for carrying out its assignments: identifying and placing candidates for vacancies. Personal data may relate to both potential and current candidates for a position, as well as to business contacts of Van de Groep & Olsthoorn.

The personal data processed may include, among others, information from CVs, emails or letters, name and address details, date of birth, education, current and previous roles, salary details, and interview notes made by consultants.

Van de Groep & Olsthoorn may use the personal data it holds to contact individuals by post, telephone or email, or to approach them directly in person.

  • to inform candidates about and invite them to events,
  • to inform candidates about current positions,
  • to send candidates newsletters and/or press releases,
  • to congratulate candidates on a new position,
  • to consult candidates for their specific expertise,
  • to maintain relationships with candidates,
  • to keep business contacts informed about news and developments.
  • Individuals can unsubscribe from receiving messages at any time or indicate that they no longer wish to be contacted.

Retention period of personal data

When a candidate registers with Van de Groep & Olsthoorn, it is generally the start of a long-term relationship. Candidates do not change jobs every year, which means that personal data needs to be available for a longer period of time.

Van de Groep & Olsthoorn handles personal data with care and stores it securely, until a request is made by the data subject to delete the data, or until Van de Groep & Olsthoorn decides to remove the data from its records. Data subjects will be notified when their personal data has been deleted.

Security of personal data

Employees of Van de Groep & Olsthoorn take the utmost care in handling the personal data under their responsibility and are bound by a duty of confidentiality regarding any sensitive information entrusted to them by clients or candidates.

Van de Groep & Olsthoorn uses technical and organisational security measures to protect the personal data we process as effectively as possible against breaches. Our security measures are continuously improved in line with technological (ICT) developments.

In the event of a data breach, affected individuals will be informed and the appropriate authorities will be notified.

Right of access

Individuals whose personal data is being processed have the right to access the personal data we hold about them.

Right to rectification or erasure

If a person’s personal data is incorrect or has changed, Van de Groep & Olsthoorn will correct it upon request.

If an individual requests to be deleted, Van de Groep & Olsthoorn will remove their data from all records. Data subjects will be informed accordingly.

Withdrawal of consent, right to object, restriction and data portability

Individuals have the right to object to the processing of their personal data. Individuals have the right to request restriction of processing and to have their personal data stored by us transferred to an affiliated party or processor.

Amendment Clause
